Every month, clients using the integrated trip insurance component should be reporting sales of trip insurance to CSA Travel Protection. Reporting and paying out monthly submissions to CSA may seem a little intimidating. We have put together this brief article in hopes of making the process easier to understand and to ensure you process your payments correctly.

When booking a reservation, trip insurance will automatically be applied to all reservations. This means that at some point you will be required to either apply payments to the insurance or to deny the insurance. TIP – We recommend that you consider this charge owed by the guest unless they decline the insurance. You should make the guest request to NOT have insurance by initialing so on the contract. This way you have it in writing that they did not wish to have travel protection for their vacation. The monthly report submitted to CSA will not include any reservations that have either declined the insurance or any reservations that have not yet paid for insurance. This report will include reservations that

1. The guest has made the initial payment for insurance
2. The guest has declined the insurance
3. The reservation has changed and updated the amount of insurance due

First things first – make sure that you are pulling the report for the correct date range. Entech will automatically generate the report dates for you based on the last report submission. This should include all trip insurance activity for the dates selected.

Go to Accounting, Trip Insurance, and process reports. See the example report below:


This report shows the amounts insured, the gross trip insurance premium and the amount to be paid to CSA. This report should be compared to the payables edit list to ensure accuracy of CSA payment.

The payables edit list should be pulled by going to Accounting, Payables and Process. Select the option by vendor and select the CSA vendor code. Print the edit list report to compare to the trip insurance report.

The payables for CSA should be released for the same date range as the trip insurance report. The total released to be paid should match the trip insurance report.

You can see that each item on the Trip insurance report matches each item on the payables edit list and the grand totals match.  If the payables from the edit list do not match the trip insurance report or you can not find the items from the report, STOP and call for assistance. You want to make sure that you are paying CSA the amount you are reporting. They will be expecting to receive the amount reported to them.  If these two reports are not matching then you should not pay out anything to CSA but contact Entech Client Care for assistance. You can think of the Trip Insurance Report as what you owe CSA and the Payable edit as what you have to pay CSA. This will help you in making sure that you are not paying too much or too little. It will also help you in paying your submissions in a timely fashion.

  Time after time we find that users do not take full advantage of the MyDesk feature in PropertyPlus. As you have seen and used the other main desks in Property Plus, Reservations….Accounts…etc you have the ability to just be a click away from the function you need. With My Desk you have the same options…BUT…to have the things each individual user has to access all the time being just a click away. You have the ability to create different list under each tab, add instructions on each so you don’t have to find that post it note you wrote it on. You can also copy one user’s desk to another user so they do not have to recreate it if they are covering for someone on vacation or training a new employee on monthly procedures.

Mailing and Check-in labels

 

Mailing Labels and Check In Labels can be added to your V12.Net application by request through the V12.Net Client Care Department.

To make this request, please call 888-597-9990 or email V12support@instantsoftware.com and provide what information you need on your labels. As soon as your labels are added to your V12.Net application the Client Care department will notify you.

Once the V12 Client Care department has added your labels to V12.Net then follow the steps below to print them.

The example used below is to print labels for all folios booked on 3/7/2008.

Go To Reservations > Guest Correspondence

See screen shot below for what fields need to be filled in to print labels.
 

1.  

Letter Template, select your labels from the drop down menu

2.  

Select option for “Select by Date Range” and enter an arrival date range (to pick up all folios, the
example below using the booked date labels should be run for as the arrival date, and a stop
date of 12/31/2055)

3.  

Enter in Booked Dates: Start Date and Stop Date

4.  

Select Method as “Print Only”

5.  

Change the Find First to ALL and click Find Now

Click option for "Select All" then click send now.



Link will appear on the screen to open the labels - Click on "HERE" in the link as hown below.
